What it computes
The calculator estimates a shopping list for a housewarming with small appetizers. It does not plan a complete lunch or dinner.
Enter the guest count, average stay, reserve percentage and ice bag size. Results cover appetizer pieces, soft drinks, drinking water and ice. Optional wine and beer quantities use your chosen drinker and wine shares.
Count children in the guest total. The tool applies the same food estimate to everyone; adjust the list for your actual crowd. Soft drinks and water cover all guests, including anyone choosing alcohol.

How it works
Guests multiplied by average stay gives guest-hours. Food and drinks use that figure; ice uses the guest count once for the event.
WebstaurantStore's catering guide suggests 4–6 passed appetizer pieces per guest per hour. It lists one soft-drink serving and 8–10 US fluid ounces of water per guest-hour. A serving here means one single-serving soft-drink bottle or can.
The ice estimate uses 1–2 lb per guest for drinks. Reddy Ice corroborates that general range. Food displays and cooler packing need separate ice. The calculator converts the upper estimate to kilograms and rounds it up to whole bags.
Optional alcohol stock uses Total Wine's one-drink-per-person-per-hour planning estimate. Apply it only to your selected share of guests of legal drinking age who want alcohol. Split that stock between wine and beer before rounding bottles and cans.
The March 2026 Total Wine booklet estimates five five-ounce pours per 750 ml wine bottle. Each beer unit is a 12-US-fl-oz can or bottle. Sources were checked September 14, 2026.
The reserve multiplies every quantity by one plus your percentage. The default 10% is an editable example, not a published catering standard.
Examples
For 20 guests staying two hours, choose alcohol-free, a 10% reserve and 7-lb ice bags. The estimate is 176–264 appetizer pieces, 44 soft drinks and 10.4–13.0 liters of water. Ice is 22–44 lb; seven bags provide 49 lb, covering the upper estimate.
For 40 guests staying three hours, let 50% of all guests choose alcohol, with 60% of alcoholic servings allocated to wine. All selected drinkers must be of legal drinking age. With a 10% reserve, allow 528–792 pieces, 132 soft drinks and up to 39.0 liters of water. The upper ice estimate needs thirteen 7-lb bags. Optional alcohol stock is eight wine bottles and 27 beers.
For ten adult beer drinkers staying one hour, use no reserve and a 0% wine share. Results are 40–60 pieces, ten soft drinks, up to 3.0 liters of water, three 7-lb ice bags and ten beers.
Limits
These are shopping estimates, not predictions of appetite or alcohol consumption targets. Adjust for the menu, dietary needs, weather and food that guests bring. A gathering replacing dinner needs a separate meal plan.
For an open house, use average attendance time rather than the invitation window. Twenty arrivals over four hours do not necessarily create eighty guest-hours.
Without temperature control, refrigerate perishables within two hours, or one hour above 90°F, following USDA guidance. Keep replenishment food chilled until needed.

Common questions
Does this plan a complete meal?
No. The snack range covers small passed appetizers. Add a separate meal plan if the gathering replaces lunch or dinner. Allergies, appetite and menu choice can change the quantities.
Is ice multiplied by the party’s duration?
No. The source range is 1–2 lb per guest per event. The reserve is added, then the upper estimate is rounded up to full bags. Coolers and food displays need separate ice.
